Refrigerative Supply Limited (referred to as “we” and “RSL”) have established this privacy policy to describe various ways we handle and protect your personal information collected on our website (www.rsl.ca).

We will typically collect business information, however, there are some circumstances in which we will collect your personal information.  We will only use your personal information in accordance with this policy unless otherwise permitted or required by applicable law.  We take steps to ensure that the personal information that we collect about you is adequate, relevant, not excessive, and used for limited purposes.

Privacy laws in Canada generally describe “personal information” as any information about an identifiable individual.  This includes information that can be used on its own or with other information to identify an individual.  Personal information typically does not include the information we would use to contact you at your business, including your name, title, business email, phone number or address.

This policy applies only to information we collect through the RSL website.

Acceptance of this Policy

Please read this policy carefully to understand our privacy policies and practices.  If you do not agree with the ways in which we handle your personal information, do not use the website.  By using the website, you indicate that you understand, accept, and consent to the practices described in this privacy policy.

It is our policy to post any changes we make to our privacy policy on this page. The date the policy was last revised is identified at the top of the page. Your continued use of the website after we make changes indicates that you accept and consent to those changes, so please check the policy periodically for updates.  

Information We Collect About You

RSL provides a broad range of HVAC-R trade specific residential and commercial equipment, parts, and tools to businesses.  Thus, we typically do not collect personal information except in limited circumstances.  For example, we collect personal information:

  • when you provide it directly to us, for example, by filling in forms such as credit applications, applying for contests, registering individual access to company accounts, and corresponding with us; and
  • when you use the website, through automated technologies such as your IP address, useage details, and information collected through cookies.

The types of personal information we collect include:

Account User Data: Each business that opens an e-commerce account will have individual users registered with that business account.  Individual users will require certain identifying information to access and verify them with the account, such as name, email address, and password.  The source of the account data may be you or your employer.  The account data may be used to provide our services, ensuring the security of our website and services, maintaining back-ups of our databases and communicating with you.  

Billing Data: For each business which establishes an account with us, we will require a billing address. We may associate details of orders and transactions with this and other information in a client account and make it accessible to us and the business through our e-commerce platform. This will typically be business information and not personal information. We will use this to process payments and collect debts. We only store the information as long as the business maintains an account with us.

Usage Data: The website, along with other tools we use, such as Google Analytics, will collect certain information about how you use the website.  This information may include your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your website use.  We may use this information for the purposes of analysing the use of the website, understanding your interests and needs, and providing you with more information about the types of products and services in which you may be interested.

Customer Relationship Data: We require certain personal information to help support our business relationships.  We may collect customer relationship data such as your name, your employer, your job title or role, your contact details, and information contained in communications between us and you or your employer.  We use this to help maintain our business relationships and provide our customers with superior service.  For the purposes of applying for and maintaining business credit accounts with us, we may also collect information about individual partners or company officers, as well as personal guarantees.  We will use this information for the purposes of managing our relationships with customers, communicating with customers, keeping records of those communications and promoting our products and services.  We may also collect information from you when you enter promotions or sign up for related services and information which we will align with the related business account and use for the promotion or service you have requested.

Transaction Data: Each user log in will be associated with a customer business account and will track the purchases of each user in respect of their business.  We will analyze and use the information about the business purchases made by registered users of the business account to understand our customers and representatives better and provide products and information of interest to you.

We use PCI compliant third party payment providers such as Moneris and Bill Trust to accept payments from our business customers, so we do not handle any personal banking or substantive credit card information. We will be provided, through our e-commerce system, with a record of transactions with Billing Data associated with the last four numbers of the credit card used for each transaction.

In addition to the above, we may use your personal information in limited circumstances where it is permitted or required by law.  For example, we may use your information to carry out our obligations and enforce our rights in agreements, including for billing and collection if you are a guarantor, or to comply with legal requirements.  There may be other purposes which are described or obvious at the time it was collected, or for which you provide consent.

Disclosure or Transfer of Your Information

We generally do not provide your personal information to third parties for their use.

We do engage service providers to assist us for such things as payment processing, however as indicated above, we do not handle your payment information.  Our e-commerce development partner, currently Valtech, located in Montreal, Canada, may also have access to your information in the course of assisting us, however they are required to take steps to safeguard your information and are only permitted to use the information to provide us with these services.

In some cases, such as for promotions or training opportunities, you may provide personal information through a link or form on our website directly to the third party providing the promotion or we will provide it to them so that you may participate in the training or promotional opportunity you have requested to enter.

We may use or disclose your personal information in other limited circumstances to fulfil the purpose you have provided it, where the law permits or we are required by law.  This includes to enforce our rights arising from any contracts and for collection purposes or if we believe disclosure is necessary or appropriate to protect RSL’s rights, property, or safety of our customers, or others (such as exchanging information with other companies and organizations for fraud prevention and credit risk reduction).  We also reserve the right to transfer your information in the event of a merger or sale of portions or all of our business.

Data Security

The security of your personal information is very important to us.  We use physical, electronic, and administrative measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure.  We take steps to ensure our service providers, such as payment processors, use appropriate encryption and are compliant with payment card industry standards.

The safety and security of your information also depends on you.  For example, you are responsible for keeping confidential your log in credentials, such as password for access to certain parts of our website.  Do not share this information with anyone not authorized.

Unfortunately, the transmission of information via the Internet and mobile platforms is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted through the website. Any transmission of personal information is at your own risk.  We are not responsible for circumvention of any website privacy settings or security measures.

Data Retention

Except as otherwise permitted or required by applicable law, we will retain your personal information for as long as necessary to fulfill the purposes we collected it, including for the purposes of satisfying any legal, business, or reporting requirements. Under some circumstances we may anonymize or aggregate your personal information so that it can no longer be associated with you. We reserve the right to use such anonymous and de-identified data for any legitimate business purpose without further notice to you or your consent.

Your Rights

You have various rights in respect of your personal information.  For example, you may ask us to (i) withdraw consent where you have previously given it; (ii) verify the accuracy of your information and ask for it to be updated or corrected; and (iii) access your personal information held by us.  If you wish to withdraw your consent, we may still be permitted or required to use it for legal and business reasons, such as to fulfill contractual obligations already agreed, and to comply with legal record keeping and reporting requirements.  Access to your personal information may be limited in some circumstances, such as if it would reveal privileged information, confidential business information, or personal information of a third party.  If you have any questions about this or would like to request access or correction of your personal information, please contact our privacy officer.
